What is your flagship product?

Our flagship product is IBID, an acronym for Intelligent Business Internet Dashboard. It is a web based tool that combines 12 modules to help business managers collect, organise and share all their company data and information.

Why do you say IBID is intelligent?

Because it is smart, versatile and is integrated with all the modules. To put it plainly the modules communicates with each other directly to ensure that no data or information is lost in translation.

What do you mean by \'modules talk to each other\'?

Modules are individual programs that can be purchased, installed and run separately, but that can extract data from the common database. This is the reason behind saying that IBID is intelligent. All the modules relate or communicate with each other. This means that information from one module is transferred to another module to ensure that there is no disconnect. For example when one is hired in through Ajira (HR jobs administration) their details are updated in Malipo (payroll) since they is an employee now and the update also occurs in Ajiri (HR) for tasks to be assigned then on.

Why allow employees to approve payslips?

This is to ensure there are no errors on the payslip before an employees salary is processed. Employees may want to claim reimbursements for expenses incurred in the service of the company. Monthly statutory deductions like HELB, and loans can also be verified by the employee before salaries are processed.

Does the to and fro messaging about tasks progress not cut off human contact in place of computer te

No really cut off rather it speeds up the process. The way to look at it would be as an innovative way to improve performance and communication. While human contact is important and should not be cut off, using IBID will save on time taken to talk to colleagues and saved for times when there is dire need for it. At the same time when the manager is away from the office he/she can keep up to speed on the progress of projects and tasks assigned by login in on his IBID account.

When I enter my profile details, is it visible to everyone else using IBID. Can I choose who gets ac

Yes you can. On Mimi (profiler) you can create groups and set what you want them to have access to. Mimi is like CV, a photo album and chat room room rolled up into one, There need for privacy is taken into account in the overall design of the system

What are the modules/departmental tools in IBID?
  • Ajira (HR jobs)

This module takes you through the recruitment process from the time a vacancy is posted, applications are received, the screening process and interviews to the time that the successful applicant is confirmed on the job. In essence ajira allows for recruitment and employee management.

  • Mimi (Profiler)

Mimi is a personal profiler. It is like a soft copy CV with added features including messaging, photo sharing, and group networking.

  • Hasibu (Bookkeeper)

Hasibu makes procurement, bookkeeping and transaction management loads easier. It is a filing system for all business correspondences such as invoices, all money-in money-out transactions and generation of receipts.

  • Malipo (Payroll administration)

Malipo is a payroll management system that stores data on employees' pay, benefits, deductions, reports, reliefs, and tax slabs. It allows for easy generation of payslips complete with deductions and benefits computation.

  • Saraka (Directory)

Saraka is the IBID directory module. It is unlike the typical directory for it comes complete with a search engine that enables you to filter your contacts as suppliers, customers, government offices etc.

  • Huduma (Customer and projects management)

Huduma keeps track of projects and tasks progress. This enables the people in charge of projects and tasks supervision to know how work is progressing to enable them communicate the same to clients. This module enables customer service and support.

  • Mauzo (Business development)

Mauzo is used to capture details of all new or prospective clients. It is an archive for a company's clients. Mauzo makes for sales and customer acquisition management.

  • Maktaba (Library & resources)

All documents relating to the business are stored in maktaba. The documents include business processes, brand manuals and organisational chart. Maktaba provides learning materials for new employees and knowledge management in an organisation.

  • Baraza (Ask & answer questions)

Knowledge sharing is very important within an organisation. This module makes it possible for someone in the IBID network system to post a question or seek assistance from colleagues, who then post answers. Baraza forms a stage for discussion.

Since the system will run on the internet, how safe my data from hacking and other security breach?

There is guaranteed power uptime and accessibility. The internet physical infrastructure is top notch, with state-of-the-art data storage systems which are safer and stable than your cabinet. This ensures that the system is always up and running. The data safety system allows for easy back up for you to restore your data hourly or daily as per your preference. IBID comes with a User management tool through which the administrator gives rights and permissions to individuals according to the tools they need. This ascertains privacy and requires no specialised skills to run.

I already have a business structure, a system that I use in my business. Why should I switch to IBI

Every business structure can be improved for growth of the business and increased efficiency. Investing in a system that will help you run various departments within the organisation will put your mind at ease so you can concentrate on growing your business. IBID is customisable and ready for use to meet your business operational requirements. Its tools cut across various departments including HR(Human Resources), business development (sales), Accounting and procurement departments. IBID is intelligent in that the different tools talk to each other such that there is one does not need to enter data twice.

I own and run a mobile phone software development company in Nairobi. I have 18 employees. For month

Investors are reluctant to invest with SMEs as they consider these businesses to be high risk. In 2008, a study carried out by Microfinance Risk Management for FSD Kenya found that less than 20% of SMEs in Kenya have ever received credit from formal financial institutions. Given that as of 2007 there were 2.2 million micro, small and medium enterprises (MSMEs) according to a study carried out by Strategic Business Advisors (Africa) Ltd. This study found that of the 2.2 million MSMEs 88% are non-registered. Out of these 23% have no bank accounts and only 10% have ever received credit from a formal institution.

By virtue of being unregistered these MSMEs ring alarm bells to potential investors. Access to credit services has been limited owing to challenges in assessing SME risk in a cost effective manner. Lack of a clear business plan and design or organisational structure is a major scare. They are reluctant to put money into a business that has no clearly stated returns. What if I lose my investment? What is the guarantee that the money will be used for the purpose stated in the loan application?

Not to say that your business has no structure or design. The fact is investors need to see order in the way business is done. IBID helps in all these areas by streamlining the flow of information within an organisation and with its various publics, and would build investors' confidence in your business as high returns on investment business. One deserving their money.

Since you stated that IBID is a web based software, what do I do when the internet is down?

You are never really cut off from the internet given the different options available. If you find your normal ISP connection is down, you have the option of GSM modems available from mobile phone service providers e.g. Safaricom, Orange and Zain. In addition, you can use an internet access enabled cellphone to connect to IBID. These variety of internet connectivity options will ensure that you stay connected wherever you are at any time. The undersea cable has ensured that internet bandwidth is available to all, at faster speeds and at a low cost.

I supply vegetables and fruits to various supermarkets in Nairobi. I like what I have heard so far a

IBID is sold as one unit. It has been developed with a focus on the standard needs of a small but growing business. Consider this scenario: you are shopping for a cellphone, you have certain features that you require, that the cellphone you want must have e.g. a camera with 3 megapixels, internet access enabled, -SMS storage, radio etc. Say you find the cellphone that meets your taste in features and aesthetics but comes with features that you do not require at the moment, what do you do. Most likely you opt to buy the cellphone though you do not need some of its features, since the cellphone comes as a package. The same applies to IBID, it comes as a package and you use it to the level of your business requirements...as time goes buy your business grows and you can use the other departmental tools that you did not use initially. IBID is an asset.

Does IBID handle stocks and inventory?

The current versiont of IBID does not handle stocks and inventory. However, Hasibu (bookkeeper) lets you manage a products catalogue (The aggregate value of stocks or goods: a detailed, often descriptive list of articles, giving the code, number, quantity and value of each). You can publish this catalog to a shopping cart on your website. Mauzo (business development) lets you set up and share detailed products information.

Does IBID have maintenance costs?

After set up and customisation it is unlikely that you will require any maintenance. However for those who require ongoing support Ibid Labs offers web support as a separate product.

Is IBID for techies?

No. IBID is not specific for use by techies. It is meant for all business managers, regardless of their experience or age, who want to increase their business operational efficiencies in the businesses that they run. For SME managers who use spreadsheets or paper for record keeping; managers who want to develop and manage organisational structures and processes similar to those of blue chip companies, those who think local but act global.
